A commercial cleaning quote is only as reliable as the information that reaches the person building it. When walkthrough observations live in free-form notes, important assumptions can disappear between the site visit, pricing model and proposal.
The answer is not more paperwork. It is a clearer operating loop.
Capture the physical scope
Record the areas to be serviced, approximate size, floor and surface types, amenities, high-touch points and any specialist tasks. Note what was not accessible during the walkthrough instead of silently assuming it matches the visible areas.
Confirm the operating conditions
Frequency is only one part of the schedule. Access windows, alarm procedures, keys, site contacts, storage, waste arrangements and security requirements can all change the labour plan.
Separate inclusions from assumptions
An inclusion is work you intend to deliver. An assumption is a condition used to build the service or price. Keeping them separate makes it easier for the buyer to correct a misunderstanding before work begins.
Hand structured inputs into pricing
The walkthrough should feed the quote model: areas, frequencies, estimated time, labour-rate assumptions, supply responsibility and special tasks. A document template should not pretend to calculate a reliable price without those business-specific inputs.
Make the proposal consistent
The final proposal should reflect the confirmed scope and state exclusions clearly. Capability information can support credibility, but it should not replace a site-specific service description.
A simple control checklist
- Were all service areas seen or explicitly marked unverified?
- Are frequency and access windows confirmed?
- Are consumables and equipment responsibilities clear?
- Do the quote and proposal use the same scope version?
- Are exclusions and assumptions visible to the buyer?
- Is there an owner for resolving open questions?
